Overview
Procea have collaborated with Royal Papworth in the initiation phase of their EPR implementation programme. Royal Papworth Hospital is in the process of procuring a replacement Electronic Patient Record (EPR), with a clear ambition to support collaborative working and shared clinical pathways with neighbouring trusts. Recognising the complexity and strategic importance of this programme, the Trust sought experienced leadership and specialist support to guide it through the early stages of the procurement and business case development.

What we were asked to do
Procea was engaged to provide interim senior leadership for the EPR programme, alongside specialist expertise to strengthen the existing Trust team. Our role was to provide overall programme direction and assurance, and to support the development and delivery of the Outline Business Case (OBC), procurement process, and Full Business Case (FBC) for a complex procurement aiming to achieve a convergent EPR solution across organisations.
Our approach
Procea provided an Interim Programme Director to lead the programme and act as a single point of accountability, working closely with Royal Papworth stakeholders to establish clear governance, decision-making structures and delivery plans. Alongside this, we deployed subject matter experts to supplement local capability across key areas of the programme.
Our approach focused on partnership and capability building. We worked collaboratively with the Royal Papworth team to align clinical, operational, digital and financial perspectives, ensuring that business case development was robust, evidence-based and aligned to wider system ambitions. This included shaping the procurement strategy, supporting stakeholder engagement, and ensuring that key risks, dependencies and benefits were clearly articulated.
Outcome
Procea supported Royal Papworth Hospital in progressing a complex EPR procurement with strong programme leadership and a clear, structured approach. The Trust was equipped with a well-developed Outline Business Case, a supported procurement process, and a Full Business Case that reflected both organisational priorities and system-wide opportunities for collaboration. This put Royal Papworth in a strong position to move forward with confidence in selecting an EPR solution that supports shared pathways and future convergence.
